Creating Sets and Sharing Content with Partners

Create curated collections of assets and products, define automatic rules, and grant precise access to partner organisations.

Sets are collections of assets or products that you share with specific partners. Instead of opening your entire library to a partner, you create curated sets and grant access only to the content they need.

What is a set

A set is a named group of assets, products, or both. Sets can be built manually by adding individual items, or automatically via rules that match assets or products based on criteria like tags or product type. Once a set is ready, you assign it to one or more partner organisations.

Creating a set

Go to Settings > Sets and click New set. Choose whether the set is for assets, products, or both, and give it a clear name. The set starts empty.

Adding content to a set

After creating a set, go to the Assets or Products module and select the items you want to include. Use the Add to set action from the bulk toolbar to add them to your set.

Dynamic rules

Rules let the platform automatically manage what is in a set, so you do not need to add items manually every time new content is created.

For asset sets, rules can include or exclude items based on tags or folders. For product sets, rules can include or exclude items based on product model or name. Multiple rules are evaluated in priority order — you control which takes precedence.

Assigning sets to partners

Once a set has content, go to the set's detail page and assign it to one or more partner organisations. For each partner, choose whether they get view access or edit access. You can revoke a partner's access to a set at any time without deleting the set or affecting other partners.
